Vacancy Short Description : Apprentice Administrative Assistants are based within the Executive Support Services (ESS) team.

 

Qualifications Required : At least 4 GCSEs or equivalent at Grade 4 (formally Grade C) or above to include mathematics and English
Vacancy Full Description : The role is responsible for providing assistance to the Executive Assistants and Administrative Assistants.

Clients
o Assist the Executive Assistants as required with travel arrangements, inputting of expenses, booking of meeting rooms and catering
o Assist the Executive Assistants in the organisation of meetings/seminars
o Learn how to consider each situation and use the appropriate form of communication, for example, emails, telephone calls or face to face conversations
o Work within and adhere to all of the firm’s policies, procedures and processes including adherence to client service standards (“CSS”)

Leadership
o Read firm communications and support new initiatives
o Assist others when required and be flexible/willing to go the extra mile to ensure work is completed on time, including having an awareness of workloads and priorities to assist and cover planned and unplanned absences

Business Management
o Assist with updating the firms client database system ‘InterAction’ with any new clients or activities, ensuring mailing lists are up to date and amending contacts when necessary
o Ensure files are retrieved promptly from storage
o Learn how to prioritise your own workload, requesting work when capacity arises and keeping the appropriate person informed as to progress, discussing as any problems that may arise
o Attend meetings when required, notifying the appropriate person if unable to attend a meeting or training and rearrange as necessary

Technical Excellence
o Work towards becoming confident with the filing structure, enabling you to complete any filing/e-filing promptly and accurately
o Learn about how to manage the full archiving process to include closing files, archiving deeds/files and scheduling of documents in accordance with office procedures including updating computerised records with any document movements
o Work towards becoming confident when carrying out photocopying, printing, paginating, indexing and scanning to ensure it is completed to a high standard, seeking assistance and guidance from the reprographics team as appropriate

Working Week : Monday to Friday, 09:00 to 5:00pm with one hour for lunch
Salary : £153.84 Per Week

Future Prospects : The Firm hopes to be able to offer all Apprentices a permanent role with career progression. This is reviewed at the time an apprenticeship is coming to an end.

College attendance: NONE - all delivered in the workplace


Training for all job specific tasks will be given. In addition the apprentice will have the support and guidance of a qualified assessor from the college, who will make on-site visits every 6-8 weeks. There may be the occasional need to attend either the Otley or Easton campus for short training courses and tests.
Other Information : Whilst working as an Apprentice Administrative Assistant, you will be studying towards a Level 3 Business and Administration Diploma. You will be given sufficient time to complete assignments and training in order to meet the standards required by the course.
